Title: Financial Management Assistant

Job’s Purpose:
The Financial Management Assistant aids the General Manager and the Finance & Operations Committee in the tracking, reconciliation, and distribution of Association funds.

Wage & Hours: $18/hour, 8 to 10 hours/week

Education: Current and returning undergraduate students attending Trent University are encouraged to apply.

Work Terms:

  • 1 staff, September to April (up to 34 weeks; excluding winter break)

  • Statutory holiday pay (20% of four-week average weekly earnings) 

  • Potential work over reading week and exam periods; winter break off

  • 4 paid sick shifts 

  • 4% vacation pay on gross

Description Summary:

  • Track and distribute funding for approved student financial assistance including but not limited to Grocery Assistance, Gardasil, Special Assistance, SERF, ATT, Apple, PSE, consignment book sales, club funding, and student group non-event ticket sales.

  • Reconciliation of all income and expense transactions through Quickbooks.

  • Financial filing

Effort:

  • Extended periods of standing and speaking with others in person.

  • Ability to multitask, shift priorities with frequent interruptions.

  • Ability to reprioritize work based on new/unexpected issues that arise.

  • Actively listening to questions and concerns and responding with detailed responses.

  • Use of discretion, tact and empathy to community members and students in sensitive situations.

  • Regular lifting and moving of Association supplies.

Working Conditions:

  • Maintaining confidentiality of information.

  • Noisy environments.

  • Unavoidable busy periods.

  • Potentially stressful situations with students requiring support.

  • Working independently and as part of a team.

Experience Required:

  • Computer skills.

  • Must have excellent interpersonal, customer service and communication skills (both verbal and written).

  • Works collaboratively with others.

  • Ability to work independently.

  • QuickBooks experience an asset, but not required.

Reports To:

  • General Manager

  • Association Resource Manager

Training:
Mandatory training (i.e., AODA), TCSA Orientation, and other training where available.
