Title: Executive Director

Job’s Purpose:
The Executive Director oversees the functioning of the Association's Executive team and ensures clear organization and support for the Board of Directors under the direction of the Association Resource Manager.

Wage & Hours: $22.83/hr starting wage, 20/hr week minimum

Work Terms:

  • 16 days paid vacation (10 to occur during winter break).

  • 7 paid sick days, access to additional paid sick days for appropriate medical issues.

  • Statutory holiday pay if holiday falls on a vacation day.

  • 4% vacation pay on gross.

Description Summary:

  • Provides advice, support, and assistance to the elected members of the Executive Committee and the Board of Directors in the setting of annual goals and objectives.

  • Organize and support the work of the Association’s Directors, as necessary.

  • Chair the Executive Committee Meeting.

  • Ensure regular communications between Executives and the Board of Directors by organizing weekly/monthly check-ins with elected student representatives.   

  • Be responsible for coordinating the production of the Association's Strategic Plan on an annual basis in collaboration with the Executive Committee.

  • Report to the Board of Directors on Executive activities, events and campaigns.

  • Assist in the execution of the Shadow Period, ensuring it effectively engages outgoing and incoming Executives. 

  • Ensure the completion of transition reports between Executives. 

  • Sit ex-officio on the Executive Feedback Committee.

  • Responsible for the supervision & tracking of Executive hours, time in lieu, vacation days and sick days.

  • Chair the Events Committee and support the events running on behalf of the Association. 

  • Assist directors in the purchasing and procurement of supplies, adhering to a budget, for Association events and campaigns.

  • Responsible for submitting all risk assessments related to TCSA Director-led events.

  • Maintain a record of committee discussion and decisions for Trent internal and TCSA committees, for which directors hold representation.

  • Ensure weekly updates are communicated to the Board of Directors on the events and activities of the Association.

  • Assist the Lead Electoral Officer with the promotion of the Association's elections and actively work to recruit candidates for the Association's Board of Directors.

  • Responsible for developing and maintaining project management resources, including a centralized progress tracker for Executives.

Education: 
Recent graduates or students pursuing an advanced degree are encouraged to apply. Training or certification in project management is considered an asset.

Experience Required: 

  • Intermediate level computer skills: Google Suite and Microsoft Office Suite required.

  • Experience managing an active database.

  • Must have excellent interpersonal, customer service and communication skills (both verbal and written).

  • Experience building collaborative relationships.

  • Demonstrated excellent organizational, time management and planning skills.

  • Proven ability to work independently.

  • Prior experience with office administration, volunteer coordination, student leadership, non-profit governance, project management, and event coordination is considered an asset.

Motor/Sensory Skills:

  • Fine motor skills for data entry with mouse and keyboard.

  • Hearing (listening, receiving and responding to questions).

  • Sight (reading various items, forms, data, and emails).

  • Physical ability to lift loads of up to 50 lbs.

Effort: 

  • Extended periods of sitting and use of a computer.

  • Ability to multitask, and shift priorities with frequent interruptions.

  • Ability to reprioritize work based on new/unexpected issues that arise.

  • Actively listening to questions and concerns and responding with detailed responses.

  • Responding to feedback from community stakeholders while maintaining composure and Professionalism.

  • Use of discretion, tact and empathy to community members and students in time-sensitive situations.

  • Regular lifting and moving Association supplies.

Working Conditions:

  • Stress resulting from multiple, competing priorities.

  • Fatigue from frequent interruptions and re-prioritization of work.

  • Maintaining confidentiality of information.

  • General Manager

  • Association Resource Manager

  • Board of Directors

Training:
Mandatory training (i.e., AODA), and an orientation to the Association’s structure (services, programs, and an in-depth overview of all by- laws and policies).
